Participant Privacy Policy

1. Who we are and what this covers

VenueBridge Research (VenueBridge, we, us) recruits participants for research studies. This policy covers information collected through this participant application website and related recruiting, screening and scheduling communications. General participant signup and adult study applications are for U.S. residents age 18 or older. A separate parent/guardian application is available only for studies expressly recruiting U.S. teens ages 13–17. Children under 13 are not accepted. A study sponsor may provide a separate notice for the research session itself, including any recording. Applying does not guarantee selection, a paid opportunity or payment.

2. Information we collect

You provide your name, email address and general location, including city, county, state and ZIP code. You may also provide a phone number, current age in years, gender, race or ethnicity, education, employment, occupation, languages, availability and answers to study questions. Current age is required for eligibility; other background questions are optional unless clearly stated otherwise. Older profiles may still contain a previously supplied age range. Some answers, such as race or ethnicity or health information, may be sensitive. Please do not submit Social Security numbers, identification documents, bank or payment-card details, medical records, or confidential legal documents through this application.

We keep application dates, screening responses and recruiter notes, eligibility and selection decisions, contact and confirmation status, attendance, permission choices and records of changes. For adult applications and general signup, we may link requests to an existing adult participant profile using your email address. General signup is stored directly in the participant database. Repeat signups are recorded for review without automatically changing prior contact preferences. Teen applications use separate profiles; siblings are not merged because they share a guardian email. We record the study and ad or referral source associated with your application, including campaign, ad-set, ad labels and tracking parameters in the application link.

Our hosting providers process technical information needed to deliver and protect the website, which can include IP addresses, browser/device information, requests and security logs. The application also uses an IP-derived, time-limited identifier to restrict repeated submissions.

3. How we use information

We use information to receive and evaluate applications, check eligibility and study conflicts, contact applicants, arrange participation, maintain recruiting and attendance records, prevent misuse, respond to privacy requests and meet legal obligations. We use source information and recruiting outcomes to understand which ads and referral sources bring suitable applicants.

Submitting general participant signup creates or links an adult profile and records a request for future email invitations pending verification. Submitting a study application creates or links a participant profile in our recruiting database. That does not automatically authorize invitations to unrelated future studies. Future-opportunity emails have a separate optional permission choice. We record online permission requests as unverified until they are checked. You can apply to a study without opting in to future invitations.

4. Access and disclosure

The recruiting workspace is restricted to authorized VenueBridge personnel. Applicants and the general public cannot browse the participant database. Service providers supporting hosting, database storage, security and communications may process information to provide those services.

For a study you apply to or agree to be considered for, we may provide the relevant study client or research team with screening and eligibility information and, when needed to arrange your participation, contact and attendance information. This does not give study clients access to the entire recruiting database. Check the study-specific notice for additional details about recipients and use. We may also disclose information when required by law or as reasonably necessary to protect rights, safety and the integrity of the service.

This application does not offer your participant profile for sale or send your application answers to advertising platforms for behavioral advertising. Clicking an ad takes place on a separate platform whose own privacy practices also apply.

5. Cookies, advertising and tracking choices

This participant application does not include a Meta Pixel or other advertising retargeting script. Ad attribution uses the source link and tracking parameters submitted with your application. We do not use this application to track your browsing across unrelated websites. Our hosting and sign-in services may use cookies or similar technology for delivery, security and authentication and have their own privacy practices.

The application does not currently change its operation in response to browser Do Not Track or Global Privacy Control signals because it does not perform cross-site behavioral advertising or sell application data through the website. If we introduce tracking or data uses that require additional notices or choices, we will provide them before those uses begin.

6. How long information is kept

We retain information for as long as reasonably needed for the purposes described here, considering the study lifecycle, your future-contact preferences, recordkeeping needs, disputes and applicable legal obligations. This website does not currently delete participant profiles automatically after a fixed period. You may request deletion using the contact method below. A limited record of an opt-out or privacy request may be retained to honor your preference or document our response. Service-provider backups or security logs may have separate retention schedules.

7. Your choices and requests

You can leave optional questions blank and decline future-study invitations. To ask about information we hold, request access or correction, request deletion, or withdraw permission for future contact, email alec@venuebridgeresearch.com, use the privacy contact displayed on your study application, or reply to a VenueBridge recruiting email. Include the email address you used to apply and describe your request; please do not send an identification document or other sensitive material unless we arrange a necessary, appropriate verification method.

We may need to verify your identity before disclosing or changing records. We will handle requests in accordance with applicable law; some information may need to be retained for legal, security or recordkeeping reasons. Privacy rights, deadlines and exceptions depend on the law that applies to you and our business. Where applicable, you may use an authorized agent or appeal a decision by replying to our response. You may also contact your state privacy regulator. We will not retaliate against you for exercising applicable privacy rights. Withholding information needed for a particular study may mean we cannot determine eligibility.

8. Security

We use access restrictions and other safeguards to protect recruiting records. No website, transmission or storage system can be guaranteed completely secure. Please do not share sensitive information beyond what a study requires, and contact us if you believe your information has been submitted or accessed improperly.

9. Age eligibility and parent/guardian applications

General signup and adult study applications are for U.S. adults age 18 or older. Teens ages 13–17 may be considered only for a designated teen study through its separate application completed by an adult parent or legal guardian. We do not accept applications for children under 13.

The guardian provides their own name, email, phone, relationship to the teen, state and county of residence, and the teen’s first name and current age. Do not provide the teen’s email or phone, full birth date, school, identity documents, or medical records. Recruiting communications go to the guardian. We retain the submitted permission wording, study and privacy notices, recording choice when applicable, source attribution, submission time, and our team’s subsequent permission and assent review records.

Online declarations are initially unverified. Our team must verify the guardian’s authority and study-specific permission and record the teen’s own agreement before the system permits qualification, client review, selection, confirmation, or attendance. A recording study requires a separate recording permission choice. This application is not a release of legal rights or permission for unrelated studies. Teen profiles are not added to the general future-study invitation pool.

A guardian or teen may decline or withdraw participation, request correction, ask to review information, or request deletion by contacting the study privacy contact or alec@venuebridgeresearch.com. We may need to verify authority before disclosing or changing records. We retain records according to the study notice and the retention section above, subject to applicable obligations; deletion is handled on request rather than by an automatic timer. If you believe an underage person submitted information outside these processes, contact us so we can review and address it.

10. Changes and contact

We will post policy updates on this page and change the effective date. For material changes, we will also provide a prominent notice on the application or contact affected participants when appropriate or required by law, and obtain additional permission where required.

For privacy questions and requests, use the privacy email shown on the application where you provided your information, or reply to a VenueBridge recruiting email. A study-specific notice supplements this policy; it does not waive your legal rights.
